Civic Engagement Coordinator

The Civic Engagement Coordinator uses his/her talents and experience to support the Office of the Chief Operating Officer and the Development team to achieve the goals and complete the tasks associated with ARHA/VHDLLC development projects, specifically assisting the COO in funneling information to the general public.  This position also provides internal support to other corporate initiatives for ARHA/VHDLLC, such as overseeing marketing and website development for VHDLLC in order to enhance communicating to the community.

Job Qualifications:

Bachelor’s Degree with experience in communications, public relations, or marketing fields and demonstrated experience in affordable housing policies and processes, in addition to the following qualifications:

  • Excellent written and oral communication, task management and interpersonal skills

  • Strong leadership and diplomatic aptitude

  • Demonstrated experience supervising individuals and groups

  • Experience interacting and working with high-ranking public officials

  • Strong writing skills in both formal and public communication, producing content for multiple audiences/stakeholders

  • Strong attention to detail, ability to edit and proofread effectively with minimal oversight

  • Ability to prioritize big picture ideas and execute into tangible actions

  • Ability to communicate ideas across various cultural settings and political latitudes

  • Ability to interface and work with or supervise people with various cultural backgrounds, levels of education, and experience

  • Ability to work in a fast-paced environment and work on multiple projects with tight deadlines.  

  • Proficient in Microsoft Office Suite, Vizio, and Power Point

  • Experience with Adobe InDesign

  • Experience with social media outlets and digital communication

  • Knowledge of other languages, especially Spanish, is beneficial

Representative Job Responsibilities:

The Communications and Civic Engagement Coordinator will assist with developing and managing the Development team’s communications, outreach, and public engagement effort, tailoring them as appropriate to a diverse set of audiences. Additional responsibilities include:

  • Coordinates with the Project Management staff to communicate information real time on development projects with surrounding community, institutional partners and other external organizations

  • Assist Project Management staff in drafting, finalizing and mailing notices required by the City development review process to adjacent and abutting neighbors or as otherwise prescribed by the City policies

  • Develop and maintain up-to-date information on the development team’s internet presence including oversight of the website, social media outlets and other vehicles of communication (newsletters, blogs, etc.)

  • Monitor all news sources for news of the VHDLLC development efforts

  • Create and implement an innovative community engagement strategy to further VHDLLC’s role in the implementation of the City’s affordable housing agenda.

  • Support engagement with community members through meetings, forums, canvassing, etc.

  • Provide updates on local housing and development issues as well as HUD and LIHTC policy/regulatory changes

  • Assist in writing applications for funding, tax credits, housing development awards, etc.

  • Assist in business development planning, including creating and maintaining marketing materials

  • Complete purchase requisitions to order supplies for the department

  • Assist Director of Development in the development of Standard Operating Procedures and flow charting of processes

  • Assist Director of Development in the development and maintenance of a central filing system for the department.

  • Prepare the agenda, letters of notification, meetings, and handouts for all special Board of Commissioners, Management Committee and Development Committee meetings.

  • Maintain calendar for the Director of Development including scheduling appointments, meetings, and conference calls as required, and coordinate the overall daily operations of the Development Division.

  • Makes travel/training registration arrangements for the Director of Development and managers including reservations, preparation of itinerary, and other related documentation.

  • Represent VHDLLC at trade shows, conferences and exhibitions.

  • Assist the Director of Development in research and preparation of necessary information, materials, and reports for conferences, appointments, meetings, and recommendations for the Board of Commissioners.

  • Requisition and maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, expediting orders, and verifying receipt of supplies.

  • Maintain appropriate records and purchase order requests.

  • Maintain a calendar of deadlines associated with projects, and provide notice of pending deadlines to the attention of the Director of Development and other staff.
